Purchasing Administrator
Location: Owings Mills, MD

Job Summary:

Purchase and receive equipment, accessories and supplies into operating system. Ensure accuracy of inventory in operating system.  Monitor accuracy and movement of all inventory.  Assist with daily projects and administrative tasks within the Purchasing and Order Processing departments.


Essential Functions:

  • Maintain required levels of inventory through the purchasing, tracking and reviewing of on hand, usage, and projected needs of stock orders
  • Process customer supply drop ship orders in a timely fashion and track ETAs
  • Receive incoming equipment & supply inventory into operating system and distribute stocking tickets to Accounts Payable
  • Analyze and meet procurement schedule based on supply inventory trends & usage and identify errors or potential over usage
  • Update & Review inventory spreadsheets daily for various categories of inventory and publish as required
  • Update Resale and Promo Lists
  • Review and monitor Street Fighter Supply Tracking
  • Review and monitor inventory reports to ensure system accuracy
  • Analyze status of inventory utilizing operating system reports and flag management of aging inventory or overstock items
  • Prepare and file UPS claims in a timely manner
  • Maintain and execute Software renewal process with Sales, Contract Teams, Vendors and in E-Automate
  • Maintain and execute Machine tagging and assignment process in E-Automat and Smartsearch
  • Maintain Recycle Box Shipping Process
  • Update and maintain “To be Scheduled” log
  • Provide status updates on stock and drop ship orders to Dispatch and Customer Service when requested
  • Print and separate Open Order reports by Team and distribute to Sales Management, Sales Administrators and Processing Teams twice weekly or as required

Additional Responsibilities:

  • Assist in other inventory duties and assignments when necessary
  • Participate in inventory planning sessions


Required Qualifications: (Knowledge, Skills, Abilities)

  • Strong clerical knowledge of administrative procedures and systems such as Microsoft Office, managing files and records, designing and manipulating excel spreadsheets, and other office procedures
  • Attention to detail and accurate processing ability
  • Thorough problem-solving skills
  • Ability to produce accurate and timely reports
  • Strong oral and written communication skills
  • Professional and courteous demeanor
  • Knowledge of operating system, its reporting capabilities, and interpreting the data (i.e. SmartSearch, e-Automate)
  • Good level of detail analysis and ability to organize data


Required Education and Experience:

  • High school diploma required; Associate degree preferred
  • 3-5 years of work experience purchasing inventory or working with inventory control methods
