Order Processing Manager

PRIMARY PURPOSE OF THE JOB:  The Order Processing Supervisor is responsible for the supervision of a team of Equipment Order Specialists processing large transactions, MPS transactions, supporting & processing assigned team orders.  The position reports to the Director of Operations. The supervisor will proactively identify issues on team orders, as well as, orders that are aging in the queue and provide instructions to the team and other departments on appropriate corrective actions.  In addition, this role is key to the training and implementation of the equipment sales order process for team members and other employees of the organization as assigned. 

 

This is fast paced, environment and the core responsibilities are to ensure the smooth operation of all processes during the sales order flow, from review of packet, delivery of equipment, to funding of sale.  Managing multiple tasks and prioritizing objectives in day to day operations is an essential component of the job and this individual plays a key role in the development of staff to ensure that all employees are fully trained and core competencies of each position are benchmarked, monitored and employees meet performance standards.  The Order Processing Supervisor is a key liaison across all departments throughout the order process.

 

ESSENTIAL DUTIES: 

  • Provides direct supervision for assigned personnel, ensuring team members perform job functions according to Standard Operating Procedures, contract requirements, corporate policies and procedures
  • Review assigned orders, identify discrepancies, resolve discrepancies and process orders to completion in a timely manner
  • Process orders for the assigned Sales Team{s}
  • Manage large transactions and large build projects
  • Monitoring OP Queue to ensure orders are processed within the expected turnaround time (24 hours)
  • Work with Equipment Order Specialists troubleshooting leasing issues; resolving and sending deals for funding as quickly as possible.
  • Process MPS Deals as assigned
  • Training of new and current employees on system, changes and processes
  • Coordinates and participates in Pre-installation and other meetings as assigned
  • Provide timely reporting as assigned
  • Documenting and updating SOP’s for Order Processing
  • Monitor and reconcile Open Order Report monthly
  • Works closely with the Director of Operations, Purchasing Manager and Purchasing Department to reconcile inventory issues and discrepancies
  • Conducts Employee performance reviews and performance counseling (as needed) and proactively involves Director of Operations in employee performance concerns
  • Ensure a competent back-up or Lead has been trained to support absences, vacations or short-term vacancies
  • Actively participate in all aspects of the “Centric Way” and be an advocate for continuous improvement
  • Other duties as assigned by the Director of Operations or other members of Sr Mgmt.
  • REQUIRED EXPERIENCE:

  • At least 5 years of experience supervising an operations/billing department
  • Experience in establishing and ensuring billing policies and procedures
  • Prior job experience proving good communication & interpersonal skills
  • Experience with proven problem-solving skills affecting customer service
  • Strong technical ability to utilize the various programs for the job- E-automate, Smartsearch, Scorekeeper.
  • Provide timely reporting as assigned

REQUIRED EDUCATION:

  • Bachelor’s degree preferred
  • Knowledge of Microsoft Office (Word, Excel, Powerpoint)
