Centric Business Systems powered by – UBEO Business Services, the premier provider of business technology products and services, is seeking to hire an Administrative Assistant to join our team in Owings Mills, MD!

Centric Business Systems powered by – UBEO is a distributor/servicer of document equipment and software solutions. Primary products include Xerox, Ricoh and Konica Minolta multi-functional equipment and Kyocera printers. UBEO specializes in electronic document management software and integrations.

The primary responsibility of this position is as follows:

This position is responsible for providing administrative support to the branch sales team, corporate administration, and finance partners, to obtain the appropriate paperwork to invoice equipment sales.

Primary responsibilities include supporting the sales team within the branch and serving as liaison between various departments such as sales, logistics, order processing, etc. This position requires the Administrative Assistant to review the terms & conditions of sales agreements and all related paperwork prior to submission to Order Processing. The position requires a detail-oriented individual with good communication skills and the ability to follow through when information received is not accurate or complete. Specific duties include, but are not limited to:

  • Processing equipment orders and billing for rental and sales of equipment
  • Working closely with rental companies and sales team
  • Processing collateral exchanges
  • Processing trade-ins
  • Maintaining monthly sales numbers
  • Verifying the accuracy of contracts, pricing, & paperwork as received from sales reps for incoming orders
  • Order entry
  • Attending weekly sales meetings
  • Coordinating trade shows, events, and other promotions
  • Must be organized and detailed-oriented, with the ability to multi-task in a fast-paced environment.

Job Related Dimensions

  • Strong attention to detail
  • Strong communication skills – both verbal and written
  • Proficiency in MS Office products (Excel, Word, MS Outlook, Powerpoint).
  • Proficiency in EAutomate


  • HS Diploma or GED
  • Preferred: Associates Degree or 2 years+ of college coursework or equivalent training

Physical Demands & Work Environment

  • Ability to sit at desk for prolonged periods of time.
  • Ability to talk on the phone and work with various computer tools and applications.
  • Ability to type and compose written communication in various forms.
  • Ability to lift 20+lbs on occasion.
